Mailing Addresses

How do I pay for my Mailing Address?

By direct debit, which we will set up with you over the phone when you start with us.

Am I charged separately for postage?

Each address includes £5 to forward any correspondence. Additional items are charged at cost plus 20%.

Can I collect my mail personally, or does it have to be posted?

Unfortunately we are unable to offer mail collection.  However all mail will be forwarded by first class post to the address you've specified.

Am I able to buy more than one Mailing Address?

Yes. We know you may want to present your business as having multiple locations, which is why you’re very welcome to buy multiple Mailing Addresses. All locations will simply post any correspondence to an address you’ve specified.

Can I meet people at my address?

Meeting Rooms are offered at every Mailing Address location (with the exception of Hanover Street) and are available by the hour, or on a half or full day basis. Stylish and professional, complementing your Mailing Address with any of these offices is the ideal way of presenting a consistent image of your business.

What happens if one of my client’s arrive at my address unexpectedly?

The team at your Mailing Address will know you and your business. They will simply explain that you’re out of the office and take a message if appropriate.

Meeting Rooms

How long can I use a Meeting Room for?

Meeting Rooms are available by the hour, or on a half or full day basis. Your dedicated Account Manager will be happy to provide you with daily rates for whichever timescale you need.

Are refreshments included in the cost of my Meeting Room?

Still and sparkling water are available in all our Meeting Rooms, for the number of delegates you’ve specified. Your dedicated Account Manager can arrange for any additional catering if required.

How do I book a Meeting Room?

Contact your Account Manager. They will make all the necessary arrangements, including any equipment, parking or catering requirements.

How can I pay for a Meeting Room?

Either by credit or debit card, at the time you confirm your booking.

Geographic, 0845 & 0800 Numbers

Can I select my own number?

Absolutely. We will provide you with a list of numbers to choose from, so you can select a number that’s most memorable for you.

How easy are these numbers to set up?

Incredibly easy. We simply route your chosen number through to a number of your choice (which can be a mobile or landline) and then test the line. The whole process can be completed within the hour.

Can I advertise my number?

You‘re welcome to advertise your number wherever you wish. Opting to reserve a number for just £10 per month prior to launching a campaign will help you organise any marketing materials. We will then activate the line whenever you’re ready to launch.

What happens if I stop using my Office Pack; can I take my numbers with me?

Yes. Your Account Manager will liaise with you and make the necessary arrangements to ensure your number remains live.

Call Conferencing

What’s the maximum number of people I can invite to take part in a conference call?

Our simple and convenient system allows you to hold a voice conferencing call with up to 20 people anytime, anywhere.

Do either myself or my callers need any specialist equipment?

No. Simply inform the relevant parties of the date and time of your conference call, together with your unique PIN code and dial-in number, that we’ll provide you with upon subscription.

How much is the cost per connected caller?

Excluding the minimal one-off fee, calls are charged at 10p per minute, per connected caller

Fax-to-Email

Can the fax number I choose be either a geographic, 0800 or 0845 number?

Yes. We will provide you with whichever number suits your needs. For example, you may want to generate local presence with a Geographic Number, or you may wish to create a national impact with a freephone or 0845 number. Whichever you choose, all faxes sent to this number will be directed to a secure central server, which then returns the fax to your nominated email address.

Can faxes be sent to more than one email address?

Yes - simply provide us with all the additional email addresses when we set up your Fax-to-Email service.

Office Packs

How many Office Packs are there to choose from?

We offer three Office Packs: Essentials, Communicator and Entrepreneur. These Office Packs have been designed to accommodate any budget, yet still provide you with the right tools to help you impress your clients, work smarter and save you money.

How long are Office Pack contracts?

A twelve-month minimum contract is applicable to all Office Packs. You can be confident that you’re benefiting from the best possible cost-savings than if you subscribed to each service individually.

Who can I contact at any time to discuss the services included in my chosen Office Pack?

Your dedicated Account Manager is on hand to answer any queries, or make any changes to the services you’re receiving from us. They’ll be happy to hear from you.

Telephone Answering Service

How do I divert our calls to Moneypenny?

Using standard BT features or features within your phone system. We’re on hand to guide you through the entire process.

Does Moneypenny keep a log of past messages?

Yes, and we use it regularly. If you have a caller who rang three months ago we will know who they spoke to, what the call was regarding and all their contact details before we even answer the call. This same information is available to you at any time via ‘Moneypenny Online'.

If you divert calls through to me, how much does the call cost?

You are charged by the minute at the standard BT rate. You pay no more than if you were to return the call yourself.

What format can you accept diaries and documents in?

All PAs are on PC's running Windows. They have the latest version of Microsoft Office (including Word and Excel) on their desktops. Your PA will not refer to your diary directly while on the phone. She will put relevant information into your on-screen diary that she refers to for every call. Alternatively, you can stay bang up-to-date using our Moneypenny ‘app’, included as part of our Communicator and Entrepreneur Office Packs.

Can you receive faxes on my behalf?

Yes. Each fax is treated as a message and forwarded to you via email as a PDF file (which can be opened on any PC or MAC).

How does Moneypenny know who the call is for?

You are given a 'divert' number that is unique to your business. Any calls received on that line will 'pop' your screen and the call will be answered in your company name.

Are all my calls answered by Moneypenny when I divert them?

It's up to you - you control your divert facility. You can choose just to send engaged or unanswered calls to Moneypenny, or both. Or you might choose to send all calls to Moneypenny.

If Moneypenny is on the phone to one of my callers and a second caller rings, does that caller get an engaged tone?

No. There is no limit to the number of calls that can be diverted simultaneously.

What happens if our Moneypenny PA is on the phone when one of my calls comes in?

Your call is passed to one of her team of three. That person has all your information in front of her prior to answering the call. If she cannot answer the enquiry, the call will be passed back to your PA as soon as she is free.

What happens out of hours?

If you want to send calls to us out of hours, from 6pm until 8.30am the next morning your calls will divert to our voicemail system where your Moneypenny PA has recorded a personalised greeting message for you. You choose how your voicemails are handled - either checked by Moneypenny each morning, to be written up and sent to you as a message, or an email sent to you with the message attached as a WAV file for you to play back on your own computer.

All Moneypenny PAs are based in our office in Wrexham, near Chester. You are welcome to visit at any time and meet the team.
